Migrate new client application to better form software that allows for sub-applications while increasing completion rate

Currently AGuard needs to integrate a property flooding and workers compensation sub applications to the new client application which is not possible with current form software. In the below scope we outline migrating to a new form software that will:

  • Integrate all application data directly into Airtable for better reporting and metrics
  • Improve user experience and focus on quick wins
  • Allow for sub-applications to be created inside of the main application
  • Allow for easier pdf generation on any form data collected
  • Reduce bugs and time to manage

Current problems the business is facing.

  1. Clients abandoning the new client application has increased significantly, from 25% to 50%
  2. Cannot integrate sub-applications like workers compensation and flood coverage into the new client application.

How we’ll solve these problems.

Goal One.

Review current application to integrate quick wins and videos.

Why it matters:

  • Allowing user’s to experience quick wins increases chances for form completion
  • Video’s give the opportunity to quickly educate the user on the importance of the form that they might not previously know
  1. Cannot integrate sub-applications like workers compensation and flood coverage into the new client application.

Goal Two.

Migrate new client application to Fillout Forms and add sub-applications.

Why it matters:

  • Moving to Fillout will allow for sub applications to easily be created
  • Setting up new PDFs to generate requires no development and can be done much faster
  • Data will be stored directly on Airtable, allowing for better reporting

  • 1 hour - Review current application outline to identify areas where quick wins can be established and videos are needed
  • 1 hour - Create recommended list of video and what needs to be covered in the video

Goal Two.

Migrate new client application to Fillout Forms and add sub-applications.

Migrate current New Client Application and pdf generation to Fillout forms work required:

  • 2.5 hours - Add questions to new form
  • 2.5 hours - add all questions to airtable and link to client
  • 2 hours - Setup PDF generation
  • 6-8 hours - Create script to back-port all current application data from website to Airtable
  • 2 hours - Add script to allow for backwards compatibility with current in-progress applications
  • 5 hours - Setup ability for clients to see submission status
  • 2.5 hours - Update steps and actions in process for new form
  • 2 hours - Create script to link all sub forms to main form
  • 2 hours - Final testing and go live with updated client application

  • 26.5 - 28.5 hours

Add already created workers comp form to new client application work required:

  • 1 hour - add workers comp for as a sub form

Estimated time to complete:

  • 1 hour

Make property question updates and add flood insurance sub application work required:

  • 2 hours - Make the listed question updates sent by Megan
  • 3-4 hours - Create form for all flood application questions that stores to airtable
  • 2-3 hours - Setup flood application pdf to automatically generate and store in airtable on form completion
  • 1 hour - Integrate as a sub form in the new client application

Estimated time to complete:

  • 8 - 10 hours
